Problem: How do I send invitations to my students for an Elluminate session? Solution: We recommend using one of the following two methods to share the link for your Elluminate sessions with your students. Each method is outlined more fully below the descriptions. We do not recommend using Elluminate's built-in email feature due to a number of bugs in its coding. 1. Copy the URL for your meeting, and email it to your students using the WolfWare mailing list, the Vista "Mail" tool, the Moodle Message feature, or using your own personal email list. This may be most appropriate when the sessions are created on a week to week basis. 2. Create a web page of session links. This may be most appropriate when a set of sessions are all created at once. We have details for both methods outlined below. If you have any questions, please contact the LearnTech help desk at (919) 513-7094, or by email at learntech@ncsu.edu. - Copying your Elluminate meeting URL - 1. Create your Elluminate meeting. 2. When you click the "Create" button, you will be sent to a "Meeting Details" page. 3. Copy the first hyperlink and paste it into your email. This is the URL you need to email to your students. (The second link is only used to create calendar entries in calendar applications and does not need to be distributed to attendees.) - WolfWare Mailing Lists - If you have a WolfWare section for your class, you also have a class mailing list that is automatically kept up to date with your current enrollment. To get your class email address: 1. Log into the WolfWare toolbox at https://wolfware.ncsu.edu/wrap-bin/admintool. 2. Select your course and click the "Set Mailing List Access" button. 3. The address will be listed at the top of the page. 4. Copy the email address and use it in the "To" field of the email you are sending to your students. If you do not already have one, you can request a Wolfware section for your class at https://wolfware.ncsu.edu/wrap-bin/admintool. - Vista "Mail" Tool - Every Vista section allows you to send email to all the participants in the class. Email sent though Vista Mail now automatically forwards to their Unity account. To send email through the Vista Mail Tool: 1. Log into http://vista.ncsu.edu. 2. Select your course. 3. In the "Course Tools" list, click "Mail." 4. Click "Create Message." 5. Click the "Browse for Recipients..." button. 6. Check the "To" boxes for the appropriate groups, such as "All Students," and click the "Save" button. 7. Enter a subject, and in the "Message" text box, paste the Elluminate meeting URL along with any other relevant information. 8. Click the "Send" button. If you do not have a Vista section for your class, you can request one at http://vista.ncsu.edu. - Moodle Message feature - If you have a Moodle section for your class, you can send a message to all enrolled students. 1. Log into http://moodlepilot.ncsu.edu. 2. Select your course. 3. On the left side of the page, click the "Participants" link. 4. Click the "Select All" button below the participants list. 5. Click the drop-down arrow next to "With selected users..." and select "Add/send a message." 6. In the "Message body" text box, paste the Elluminate meeting URL along with any other relevant information. 7. Click the "Preview" button. 8. Click the "Send message" button. - Set Up A Links Page - Whether you use WolfWare, Vista, or Moodle, you can create a simple web page that lists all of your Elluminate sessions including the session titles, dates, times, and URLs. A benefit to this method is that if you are recording your Elluminate sessions, you can add links to the recordings once the session is over. Configuration instructions, including who to contact for support 2. The session date and time 3.
